PRIVACY POLICY of the Association of Chinese Professionals in Belgium
1. INTRODUCTION
Association of Chinese Professionals in Belgium ASBL (hereinafter “ACPB”) is registered with address at, Rue Laid Burniat 3, 1348 Louvain-La-Neuve, BELGIUM,and Belgian enterprise number 0806.439.984.
This privacy policy explains how ACPB, acting in the capacity of “data controller”, collects and processes personal data of its members, honorary members and its (volunteer) staff (hereinafter “members”).
With reference to “General Data Protection Regulation” which is the data privacy and security law of European Union (GDPR , https://gdpr.eu/), ACPB takes data protection and the responsibilities to treat personal data seriously, correctly and lawfully. ACPB is committed to complying with legal obligations and practicing industry standards when collecting, processing and storing personal data.
2. TYPES OF PERSONAL DATA ACPB PROCESSES
The personal data ACPB collects, processes and stores will be personally identifiable information related to members. The personal data processed includes recorded information and/or video and photographic images about an individual. This includes:
• names, addresses, telephone numbers, e-mail addresses, WeChat ID, etc;
• education and employment data;
• photos, images, audio and video recordings; and/or
• other information voluntarily provided by members.
3. HOW ACPB COLLECTS AND PROCESS PERSONAL DATA
ACPB collects information in several ways, including but not limited to:
• in person and over the phone: from members and others;
• from electronic and paper documentation: including job applications, emails, enrolment forms, letters to ACPB, consent forms, ACPB website or ACPB-owned social media;
• through online tools: such as apps and other software used by ACPB;
• through publicly available resources.
4. PURPOSES FOR WHICH ACPB PROCESSES PERSONAL DATA
ACPB board collects, processes and stores personal information only for the purpose for which it is intended: to support ACPB’s operation lawfully and legitimately as an independent association. ACPB collects information about members and their families when necessary to:
• allow communication among the members;
• communicate with members about association matters;
• collaborations with Chinese or Belgian governments, organizations and companies;
• provide member benefits;
• manage daily operations over invoices, expenses and bank account, etc.; implement and execute regulations over members; manage documents and other operations;
• promote ACPB on its website or ACPB-controlled social media and other publications and events that ACPB conducted and/or participated.
ACPB collects information about members, prospective members, partners and contractors when necessary for:
• the administration of member records;
• the recruitment of volunteers;
• incentive and disciplinary procedures;
• providing referrals.
5. HOW LONG DOES ACPB KEEPS PERSONAL DATA
ACPB retains personal data only for a legitimate and lawful reason and only for so long as necessary according to Belgian and European Union laws.
6. HOW ACPB PROTECTS YOUR PERSONAL DATA
The personal data processed by ACPB is only accessible by its relevant volunteer board members. ACPB informs all members about the importance of the protection of your personal data. The personal data will not be provided to third parties and will not be made public, unless ACPB has obtained your consent to do so or when required by Belgian or European Union laws. As an association, ACPB may be lawfully required to share personal information with relevant authorities.
7. YOUR RESPONSIBILITY
Any information gained on ACPB or on individuals via ACPB platforms or activities organized by ABPB cannot be shared with third parties without consent.

You have the right to:
• access and know the personal data ACPB holds about you;
• ask for the personal data ACPB holds about you to be erased (this may be with limitations and exceptions as ACPB may have to hold such data required by Belgian or European Union laws);
• ask for the personal data ACPB holds about you to be amended;
• ask us to stop processing such data (this is with limitations and exceptions as ACPB may be required by Belgian or European Union laws to process such data);
• receive a copy of the personal data ACPB holds about you ;
• withdraw consent to process your personal data (this is with limitations and exceptions as ACPB may be required by Belgian or European Union laws to process such data regardless of consent).

9. CONSENT
Under data protection legislation, ACPB is required to obtain consent to process an individual’s personal data and will provide its members this entire policy and obtain the members’ consent via WeChat, email or ACPB website.
This is with limitations and exceptions as ACPB may have lawful and legitimate reasons to fulfil contractual or legal obligations, regardless of consent. When ACPB collects and/or processes personal data, you will be informed with reasonable steps.
10. COOKIE POLICY
ACPB may use cookies on its websites to provide enhanced functionality and improve the user experience.
